[opensuse-project] Kickoff Meeting Update

If you missed today's meeting, don't worry. There's plenty of opportunities to get involved in different ways. Just like the openSUSE Conference, no event is successful without community involved. If you see a task missing, please feel free to add it. We need to move fast to get the teams going soon. Note: You can still volunteer even if you don't plan to attend the event. :-) We welcome all input! +++ Calendar +++ At the bottom of the wiki page there is a calendar of milestones. There are several items in there now and soon our committees will add their own milestones to the list. Thanks to Peter Linnell's suggestion, we may be able to add an .ics calendar to the wiki to make it easier for you to keep track of milestones. +++ Target Audience +++ There seems to be a good consensus on making the event focus on a good mixture of talks and HowTo's, enabling our users to get their hands dirty. If you feel you have some input on the targets, we encourage you to join the Program Committee where your input will be best heard. Hackfests can be planned as we get closer to the event. These can be more ad-hoc style where people can gather in the main area or create their own pockets of hackfests. We also discussed making the event bi-lingual. Given that this event will be in Florida and an easy jump for many in Mexico and Central America, we can attract more attendees. This is supported by the several Central Americans who attended today's meeting, and volunteered to be interpreters. +++ Event Name +++ We don't want the name to be confused with our main Conference in EU. We proposed the following names, and we will create a poll on Connect for everyone to vote. - openSUSE Camp - openSUSE Fellowship - openSUSE Forum - openSUSE Huddle - openSUSE LiveCon - openSUSE Summit - openSUSE Symposium Got another name in mind? Add to the wiki page. All suggested names by Friday will be included in the poll. We will announce the poll link on Friday (Feb 3) and the poll will close on Saturday (Feb 11.) +++ Sponsorship +++ SUSE has graciously donated space to us to use the hotel venue after SUSECon. However, there is no guarantee of any financial funds that SUSE will give to the event. We, as a community, need to step up and seek out sponsorships to fund the event as well as travel costs. Several people have already pointed to potential sponsorship leads and we believe that many of you can reach out to your own personal contacts in the world to request sponsorship considerations. We will leave it to the soon-to-be-formed Sponsorship team to develop the guidelines and materials you will need in order to pursue. e.g., formal letters of requests, etc. and coordination so that we're not all bothering the same sponsor. :-) +++ Communication +++ We will send periodic updates to the Project mailing list to keep the community informed of the planning progress. Committees will have their own discussion groups so that the Project list will not be overly spammed. I will also blog frequently whenever possible. (Look for my next blogpost soon!) As with our tradition of openSUSE conference planning, we will still hold a monthly "status update" meeting on IRC (with summaries reported to the mailing list like this one.) These meetings will be held on Saturdays rather than weekday, once a month. The next status meeting will be Saturday, March 3 at 18:00 UTC. +++ What needs to be done quickly +++ - Artwork: Andi Silva and Carlos Ribeiro will collaborate with the openSUSE Artwork team to create posters and flyers. We need this by March 1 so we can begin sending materials to FOSS events. (Many events happening in March and April in the U.S.) - Once we have a name for the event, I have volunteered to work with our admins to set up our website and configure Indico (our CFP management process.) - Committees need to form quickly and begin outlining their procedural plans for their tasks. Just my opinion - I think openSUSE should stay far away from politics of any kind. It doesn't matter whether it might affect the project or not. All, During today's project meeting a discussion about openSUSE membership started, see earlier posts to the list for meeting minutes. While we have documented procedures (http://en.opensuse.org/openSUSE:Members) on how to become a member, we do not have any guidelines about what it means to be a member in good standing. Additionally, the only way to get pruned from the list of members is to repeatedly violate the guiding principals or actively request removal. I am suggesting that the conditions for loss of membership are not sufficient. As briefly discussed in the meeting today we have about 500 or so members. Also in a recent meeting it was suggested that we have a large contingent of non active members. This would then explain why we end up with only 200 and some odd votes of 500 members for the board elections. As probably anyone who is a member of some club or association knows, there is always some condition, often a fee, that assures continued membership in said club or association. No I am NOT proposing a membership fee for openSUSE. However, I am proposing that we come up with a mechanism to prune our list of members and that there is no such thing as a "free" (as in I don't contribute) life time membership. I propose the following guideline: " On even years of membership anniversary (that would be year 2, 4, 6...) a member gets an automated e-mail. - If the e-mail bounces and there is no other means to contact the person than the person is removed as a member. - If the person does not respond within two weeks, another e-mail is sent. If after 2 additional weeks no response is received the person is removed as a member. A response to the received e-mail should include a short list of areas in the project where the member was active during the past two years. This can be verified by the membership team. With the response and verification membership continues. " I realize I am proposing more work for the membership committee, sorry. However, I would hope that this is not too much of a burden. With maybe 300 or fewer active members there would be on average less than 1 verification e-mail per day sent. In addition this is spread out based on anniversary date of membership, thus the additional verification should be small. Why would we as a project want to do this? IMHO, it is important that our members are active and contribute to the project. There is nothing gained for us as a project to accumulate a large number of members when the members are not active in the project and do not contribute. Having only members that are active also bestows more meaning on board election results and other votes we might have in the project. This goes back to my earlier comment and leads to a question, what does it mean when the board gets elected with a vote count that is less than 50% of the membership? (I am not implying that I am dissatisfied with the board). No direct answer to this question please. If we have only active project participants I would speculate that we will get participation of 80% or more. Last but not least this should create a perceived draw to become a member, as you can only be a member and remain a member if you contribute to the project. For the discussion, I'd like to ask that people stick to the topic and not go off on some tangent ;) I have added this as a topic to the next project meeting (Feb 8, 2012) and will provide a summary of the discussion on the wiki. The board can then make a decision on how to move forward on this proposal based on the summary, and hopefully board members will be following this thread. [opensuse-project] Getting ready for Linux Audio Conference (LAC) in April

Hey Everyone, I just want to let you all know that Peter Linnell and I are working on contacting the Linux Audio Conference (LAC) and organizing the openSUSE presence there. Just to let everyone know where we are right now: I will be contacting the good folks at LAC either tonight or tomorrow (though I am going to try to contact them tonight). As soon as I hear back from them I will update the list on the status. If we have anyone is interested in the event they can check it out at http://lac.linuxaudio.org/2012/ and let Peter or I know. I don't know the format of the LAC as I have never been before, but as with any event, I'd love for us to have a good openSUSE team representing our community there.
